On this page you will find important information relating to your presentation within the official program for ICONN 2026. 

Whether you an oral presenter, poster presenter or chairperson – below you will find detailed information to help you prepare for your role. 

Included below is a checklist to assist you to manage your presentation items and the relevant deadlines.

Presentation guidelines

ICONN 2026 is being held as a fully in-person conference. Therefore, all presenters are required to attend in-person to present their work. 

Oral presentation guidelines

The below information is for all oral presentations. These guidelines include instructions on how to prepare your presentation. It is important that you read and understand these guidelines while preparing your presentation.

Presentation template
It is recommended that all oral presenters use the official presentation template when preparing their presentation. This template is already in the 16:9 ratio for you.

Presentation length
Please refer to your notification letter for your presentation length.

PowerPoint files
All users of MAC hardware need to ensure before they leave home that the files are compatible with PC hardware. It is expected that presenters will use Microsoft.

Please let us know immediately if you use a MAC system.

Movies and sound files
If you have movies or sound files in the PowerPoint presentation please embed them and test that they work correctly in presentation mode.

To ensure a complete and effective presentation every time here’s what to do:

  • Create a folder for your presentation
  • Place or copy every file that is used in the presentation in this folder. This will include all pictures, movies, sounds or any files that are used in the presentation
  • Now re-create any links so that they access this presentation folder (insert, movies and sounds, from file). Remember to resave the presentation
  • Another advantage of this approach is that you have access to the original files such as video clips etc in the event of PowerPoint problems


Submitting your presentation 

Your finalised PowerPoint must be submitted via the presentation upload link no later than Friday 30 January 2026. Submitting via the upload link will ensure your presentation will be loaded onto the central system for you to check upon arrival to the speakers preparation room.

The file should be save in the following format: Lastname_firstname_presentationDate_presentationtime_Sessionroom_sessiontitle.

If you are unable to meet this deadline, please notify the Program Manager via info@iconnference.com. All presenters are required to check in a at the speakers preparation room at least 3 hours prior to their session commencing.

All presentations will be networked to the presentation rooms; therefore you need to ensure your presentation is loaded prior to your speaking time.

It will not be possible to use your own laptop or USB for your presentation. 

Session information
Your presentation will be given in-person. Questions from the audience will be moderated by the session chair.

You are required to be available for the duration of your session and to participate in the live Q&A.

Speakers preparation room
Please check in at the speakers preparation room well in advance of your presentation (at least 3 hours prior to your session commencement).

Your presentation will be checked, then loaded onto the network, and will be available in your assigned session room.

What to do on the day of presentation
Please follow the below checklist to ensure you are ready for your presentation!

  • Make sure you have loaded your presentation in the speakers preparation room
  • Be in your assigned session room at least 20 minutes prior to your session commencing
  • Ensure that you are seated at the front of the room (front row near lectern or at head table depending on number of speakers in your session)

Your poster display information will be confirmed closer to the conference date.

Poster presentation guidelines

The below information is for Poster display and schedule.

It is important that you read and understand these guidelines while preparing your presentation.

The official poster size is A0 portrait 841 x 1189mm – maximum size. You are required to print your own poster, there will be no poster printing facilities onsite. You will be required to hang your own poster listed within the times found in your guidelines.

Poster template
All poster presenters MUST use the official presentation template when preparing their poster. This template is set to the size specifications and portrait style. No amendments should be made to the poster template including size as the poster.

All presenters are responsible for preparing their posters prior to their arrival at the conference. Posters will be displayed on posterboards within the ICONN exhibition area, located on Level 3, The Hilton Hotel, Sydney.

Poster schedule and numbering

Poster presentations will be displayed daily throughout the conference. Presenters will be assigned to one of the below poster sessions:


Poster presenters are required to stand by their poster during the Morning tea and Afternoon tea breaks during the program.
This will allow delegates time to view the posters and engage directly with the presenters to discuss their work.

Poster display hanging times

  • Session 1: displayed all day Tuesday including the Welcome Reception
    • Ensure to hang your poster by no later than 0800 hours on Tuesday 3 February
    • Ensure to remove your poster by no later than 1900 hours on Tuesday 3 February
  • Session 2: displayed all day Wednesday and Thursday morning
    • Ensure to hang your poster by no later than 0800 hours on Wednesday 4 February
    • Ensure to remove your poster by no later than 1400 hours on Thursday 5 February


Posters not removed by the allocated times, will be taken down and stored at the registration desk. Any posters not collected by 1600 hours on Thursday 5 February will be discarded.

Chairperson guidelines

This information is for all main program session chairpersons. These guidelines include instructions on how to prepare and manage your assigned sessions.

What can I expect on the day?

Each room is clearly marked at the entrance with a door sign that will identify the theme and stream of your session- be sure to match your room number with your allocated session.

The room will be set in a theatre (chairs only) format to the maximum capacity- please ensure all attending are seated and not standing in front or to the sides of the room entrance, this is a venue firehazard prevention requirement.

At the front of the room a low-level stage is included, with three stools, lectern and projection screen above, please welcome speakers to near the stage and use the lectern mic when they speak.

Chairpersons are encouraged to speak from the lectern and remain seated in a reserved seat at the front of the room.

Speakers not wishing to be seated on stage – please ensure they too sit in a reserved seat to minimise time to the stage.

Welcome all speakers to the stage at the end for the Q&A.

In preparation for the session

Please identify the speakers from your session- should you have any queries regarding their presentation, pronunciation of their name, ideal questions to ask- please connect with speakers prior to the conference, LinkedIn profiles are available on the ICONN website.

Arrive approximately 10mins before the session commences so you can meet and greet speakers- if you do not have all speakers in your allocated room 5 minutes prior to the session commencing, please advise the event organisers, there will always be a team member in a room or foyer near your room if not in your room.

Review the topics of the presentations prior to structure at least 1 question per speaker to have ready should there not be any audience questions.

Do not include questions at the end of your session if the session end time has been reached by the presentations, remind speakers of their remaining talk time from your seat using the flash timer cards provided. Should they continue to talk, politely interrupt them to wrap the presentation. It is essential to remain on time with a full program across each day.

Please keep your welcome and introduction of the speakers to a minimum. No more than 1-2 sentences in the welcome and introducing the speaker. This will ensure maximum time is allocated to the presentations and Q&A.

Conclude the session with a thank you to all speakers and encourage the audience to connect directly with the speakers over the various catering breaks.

What if I need help?

In all session rooms, there will be an AV technician at the back of the room and Conference Organisers will be available at the registration area.

What if I am unable to attend?

Should you have unexpected schedule change or ill on the day, please contact Samantha Lac 0403 467 456 no later than 2 hours before your expected session is to commence.

What is expected of me as chairperson?

The chairperson is expected to manage the session, and this includes but is not limited to the following actions:

  • Introduce the session
    Introduce the speakers (biographies are not necessary due to time constraints, full name and presentation title is sufficient)
  • Facilitate Q&A
  • Ensure the session runs to time and does not exceed the allocated time
  • Close the session and thank speakers/audience
  • Discuss with your co-chairperson how you will divide the role within the session. For example, one may choose to open/close session while the other may choose to facilitate Q&A.


How will Q&A work?

Questions from the audience will be via a room mic – we encourage you or your co-chair to pass this around the room in order to ensure quality of sound and question order within the room.

Important note: if an audience member calls out a question whilst seated, you must repeat the question so everyone can hear. Chairpersons / speakers must always speak into the microphone.

The agenda will show the following information:

  • Connect to the conference mobile agenda-a link will be provided a few days prior to the conference.
  • Session information including the title of the session, speaker names, presentation titles and presentation lengths.
  • Updates to your session will automatically be made through the agenda – it will be important to refresh this regularly.

Can you help us?

If you are willing to be an emergency replacement chair on the day- sometimes with very limited notification, please email us at info@iconnference.com we will confirm your availability and should we need a replacement chair we would appreciate your support and assistance on the day. Thank you to those who are able to support ICONN with this process.

Acknowledging Australia’s First Nations people
Our opening ceremony includes a local elder welcoming all of us to Sydney and wishing every success of ICONN.

Those wishing to include an acknowledgment of the local traditional owners please reference the belowas a guide to your acknowledgement.

Please note this is a very individual decision to make and not a requirement from the Indigenous community being we have a welcome from the local elder at the commencement of ICONN.

Our conference is being held on the lands of the Gadigal (Gadi-gal) of the Eora Nation people, and I wish to acknowledge them as Traditional Owners.
I would also like to pay my respects to their Elders, past and present, and Aboriginal Elders of other communities who may be here today.
